A SMALL COMMITMENT. A USEFUL ANSWER.
Test the workflow
before the big build.
A proposed $500 pilot for one apartment purchasing team. Two weeks, up to 20 recurring items, and a decision grounded in your own data.
Start with the tools you already have
We first check your existing supplier lists, purchasing controls and negotiated pricing. If those solve the problem, the recommendation is to use them. The pilot tests whether a custom workflow is worth building.
What you get
- A clean item list that maps the products you buy to supplier SKUs and pack sizes.
- Two recent basket comparisons using dated quotes from your supplier accounts, with shipping, tax, availability and compatibility visible.
- A working walkthrough of entering a request, reviewing the options and exporting a purchasing worksheet.
- A short findings report: total staff effort including quote collection, credible opportunities, missing data and a proceed-or-stop recommendation.
What we need from you
One purchaser, one adult approver, up to two properties, 20 recurring items and two recent supply baskets. Bring redacted invoices and authorized supplier quotes. Keep resident information, payment cards and supplier passwords out of the pilot.
The two-week plan
| When | Work | Evidence |
|---|---|---|
| Before kickoff | Identify the main purchasing problem, check existing tools, and agree scope, payment and the data sample. | Signed scope and complete input list. |
| Week one | Map items, normalize quotes and check two baskets. | Source-linked comparison with unresolved items flagged. |
| Week two | Walk through the workflow with the buyer and review the result. | Ten sample requests, measured review time and an exported worksheet. |
What acceptance means
Accepted comparisons use the right product, quantity and full delivered cost. Missing information stays visible. The purchaser can reproduce the arithmetic and export the results. We measure time on a real task; a positive savings result is not guaranteed or required.
Clear limits
The pilot does not include supplier integrations, automatic ordering, shared staff accounts, a resident portal or emergency support. You verify compatibility and place orders yourself. Work is scheduled around two weekday sessions and a weekend block, with no same-day response promise.
A larger implementation needs its own signed scope and price after the pilot. Any pilot credit must appear in that agreement. You can keep the exported findings and stop after the pilot.
